You can manually import student and staff data into Pulse using spreadsheets when you’re onboarding Student Pulse or doing the yearly Pulse rollover.
Note
If your school integrated Wonde with Pulse, update your data in your School Information System (SIS) instead.
Before you begin
- You must be nominated to import school data. Note: If you’re nominated, you’ll receive an email or notification in Pulse to complete this task.
- You must have access to your school’s School Information Systems (SIS) and HR Systems.
Create spreadsheets for importing data
Warning
Do not change any existing headers in the spreadsheet templates.
When you import data into Pulse, Pulse prompts you to upload spreadsheets in this order:
- Student spreadsheet (required)
- Teaching staff spreadsheet (optional)
- Staff directory spreadsheet (required)
Student spreadsheet
For each student participating in Pulse, you must enter their information into the Student List template.
The template has these headers:
- Email Address: The email address that receives Pulse emails for students.
- First Name: The student’s first name.
- Last Name: The student’s surname.
- Year Level: The student’s year level.
- Class: Depending on your school structure, you can use House names or group names instead of a Class name. Pulse will create groups based on the names you enter in this column.
- (Optional) Names of any additional groups they belong to. Pulse will create groups based on the names you enter in this column.
Important
Ensure you use the same format for your Year level, Class names and additional group names as Pulse will create groups based on the names in the spreadsheet. For Example, “Year 10” and “Yr 10” will be recognised as different groups.
To create the spreadsheet:
- Download the Pulse Student List template.
- Enter the student details into the template in the same order.

Enter any additional group names in the next empty column on the right, but don’t enter a column header.

(Optional) Teaching staff spreadsheet
Important
Use this spreadsheet only if your SIS includes teacher data. If your SIS doesn't have teacher data, use the Staff directory spreadsheet instead.
Pulse will automatically assign teachers in the Teaching staff spreadsheet to the class or group you specify. For each teacher, you must enter their information into the Teaching staff template.
The template has these headers:
- Email Address: The email address to which Pulse emails for the teacher will be sent.
- First Name: The first name of the teacher.
- Last Name: The surname of the teacher.
- Class: The name of the Class, House or Pastoral group they oversee
- (Optional) Names of any additional groups they oversee
Important
Ensure the class names and additional group names are the same format as the Student spreadsheet.
To create the spreadsheet:
- Download the Pulse Teaching staff template.
- Enter the staff details into the template in the same order as the headers.
- Enter additional group names in the next empty column on the right, but don’t enter a column header.
- Save the spreadsheet.
Staff directory spreadsheet
Pulse will not automatically assign staff members in the Staff directory spreadsheet to a group. For each staff member, you must enter their information into the Staff directory template.
The template has these headers:
- Email Address: The email address to which Pulse emails for the teacher will be sent.
- First Name: The first name of the staff member.
- Last Name: The surname of the staff member.
You can assign staff members to groups in Pulse after they are imported.
To create the spreadsheet:
- Download the Pulse Staff directory template.
- Enter the staff details into the template in the same order.
- Save the spreadsheet.
